Process 06: Selection, role assignment, and task assignment in the Club

Applicable to the process of selecting, training, assigning and operating Club personnel.

    I. GOAL

    – Select the right person – the right job, helping the Club operate effectively, fairly and unitedly.
    – Create an environment where each member has a role, can promote their strengths, learn and grow.

    II. PRINCIPLES OF SELECTION AND ASSIGNMENT

    1. Based on capacity, attitude and sense of responsibility.
    2. Prioritize those who are proactive, committed for the long term, and willing to learn.
    3. Ensure fair opportunities – no bias – no formality.
    4. Respect personal wishes, but the final decision is made by the Executive Board and the teacher in charge.

    III. IMPLEMENTATION STEPS

    📍 STEP 1 – INITIAL SELECTION
    – Open an online registration form or distribute registration forms according to the form.
    – Preliminary interview (can be in group chat, share the reason for joining, ability to take on the job).
    – Select official and reserve members, announce publicly.

    📍 STEP 2 – CLEARLY ASSIGN ROLES
    – Create a personnel chart (Head, Vice Head, Secretary, Communications, Logistics, Connection...).
    – Each group has a team leader, divide members into specific areas.
    – Assign tasks clearly in writing, post the assignment chart on the club bulletin board.

    📍 STEP 3 – PERIODIC ADJUSTMENTS
    – Review capacity – attitude – work efficiency every 2 months.
    – Propose role changes if necessary to suit and create opportunities for position rotation.
    – Re-vote can be organized if the team has major changes.

    IV. ASSIGNMENT OF RESPONSIBILITIES

    – Club leader: coordinates with teachers to make final decisions, build a staffing chart.
    – Teacher in charge: supervises fairness, encourages and motivates new members.
    – Each group leader: is responsible for dividing the work within their group.
